Policies

COVID-19 Policies
Puzzle Parley: *** updated 5/20/2022 ***
The Puzzle Parley Steering Committee remains very concerned about the current and projected COVID infections and transmission, especially in the home states of most attendees. The health of Parley attendees is of utmost importance as we continue planning for the July in-person event. Although we cannot guarantee a totally virus-free weekend, we will do our best by establishing the following requirements and recommendations
which will apply to all attendees, presenters, guests and vendors:
  • When registering at the Puzzle Parley event each person must show either proof of being fully vaccinated (vaccination card or photo of vaccination card) or show results of a negative COVID-19 PCR test (not a rapid test) taken within 48 hours of arrival.
  • We strongly recommend wearing face masks in hotel public spaces and when attending all Parley sessions or activities except when eating or drinking, or speaking from the podium. While masking is not required, you must respect each person’s decision to wear a mask or not.
  • We recommend the use of hand sanitizer (provided at the door) upon entering the function rooms.
  • Everyone must agree to perform a daily self-assessment before attending any Parley event. If you answer “yes” to any of these questions, we ask that you not attend any Puzzle Parley session or event. The self-assessment includes these questions:
    • Am I experiencing any symptoms of COVID-19?
    • Have I recently been in close contact with anyone showing symptoms of COVID-19, or who has tested positive for COVID-19?
    • Do I have a temperature of 100.4° F/38° C)?
  • Finally, for peace of mind, we strongly recommend you take a COVID-19 rapid home test before leaving home to attend the Parley. Stay home until your test results are negative. FYI, as of May 16, U.S. residents can again order free home tests at www.covid.gov/tests
Should conditions warrant these or other restrictions, we will notify attendees in a timely manner before the Parley begins. We strongly suggest all attendees protect themselves and protect the vulnerable members of our puzzling community by being fully vaccinated. If you are not signed up for the Puzzle Parley Mailing List to receive updates, you can do so at the bottom of the Home page.

American Antiquarian Society:  For the safety of all visitors and staff, proof of COVID-19 vaccination and a valid ID are required of all guests. Per City of Worcester and AAS guidelines, all guests are also required to remain properly masked when indoors and asked to socially distance. Proof of vaccination can include:
  • a physical vaccine card
  • a photocopy of the card
  • a digital record or app on your phone
  • a printed record from a vaccine provider
  • A valid photo ID is also required for the tour

Payment Policies
Refund Policy: For cancellations on or before June 1st, we will refund 95% of your payment. From June 2nd to July 10th, we will refund 75% of your payment. There is no refund after July 10th although we will try to accommodate emergencies if possible.

Hotel and Travel Information

Hotel
Lodging is not included.

You will need to make your own hotel reservation. Our venue and hotel is the Sturbridge Host Hotel & Conference Center (see website link, address, and phone number below).

Make it easy on yourself by staying where the action is till the wee hours of the morning, and only having to walk back to your room instead of trying to drive at 2 AM! Help us fill our reserved block of rooms that make it possible for us to hold this event. Our special rate includes 2 double beds with 2 people starting at $119 for the weekend rate (vs. $129). To receive this rate, you will need to call into the hotel to make your reservation, and specify that you are with the PUZZLE PARLEY. Please have kindness and patience ready, as our hotel is dealing with a staff shortage, and they may have to call you back to help you with your reservation.

Our rate is not available for online reservations, as unfortunately there have been many changes since our original 2020 reservation date, including an overhaul of their entire registration system for the hotel! We would appreciate it if you could write that you are "with the PUZZLE PARLEY" in the REMARKS section of your online hotel reservation. This helps make sure that you get counted to filling our block of rooms!

The average price for rooms is  $120+tax. Our block of rooms applies for a little before and after the Parley, so you can plan an extended vacation in the area! Register as soon as possible, as rooms fill up quickly (Block is full for 2022!). On Sunday you may wish to checkout later, as our program runs past the standard checkout time. You can request from the hotel to checkout by 1 PM with no extra charge.

Travel
You have many airport options if you are flying and driving to Sturbridge, MA. They have varying costs and driving distances, and the options for public transportation are few. We suggest using the Puzzle Parley Facebook Group to find others that you can rideshare with!

Planning on renting a car? Be sure to check prices before you book a flight. You may find that the car rental is more economical on a more expensive flight -- in the $100's of dollars of difference economical! Many rental companies have down-sized their fleets, and are struggling to meet the renewed demand, and are charging far more than before. An excellent website to find out rental prices, and to track your rental reservation is AutoSlash.com.

Airport Options:
  • 22 miles to Worcester Regional Airport (ORH) Worcester, MA
  • 51 miles to Bradley International Airport (BDL) north of Hartford, Connecticut
  • 66 miles to Theodore Francis Green Memorial State Airport (PVD), Providence, Rhode Island
  • 61 miles to Boston Logan International Airport (BOS), Logan, Boston
Ground Transportation Options:
For car, taxi, bus, and train travel -- with  price estimates, can be found at the website links below. We strongly encourage ride sharing to save more of your money for puzzle treasures, and you can find a rideshare match through this Puzzle Parley Facebook Group Link.

Be aware that the intersection of I-90 and I-84 can have heavy traffic loads with weekender traffic on Friday and Saturday afternoons. Plan your schedule accordingly.

If you are driving, know that much of the Northeast has toll roads, specifically I-90 West out of Boston, and MA-146 North out of Providence. Although rental companies will rent a wireless E-Z Pass box to you, they are incredibly overpriced and often wrong. At least for Boston, you can purchase one here: https://www.mass.gov/ezdrivema
  • Worcester to Sturbridge
  • Hartford to Sturbridge
  • Providence to Sturbridge
  • Boston to Sturbridge
